DoveLewis Veterinary Emergency and Specialty Hospital is seeking a Specialty Client Service Representative with a focus on scheduling to join our Client Experience Team.

As a Specialty Client Service Representative, you are the first point of contact for our Specialty Department clients and their pets. These specialty services currently include cardiology, internal medicine, neurology, diagnostic imaging, pain management, hospice, and surgery although we are growing quickly and will be expanding our specialty services further in the near future.

Your client service responsibilities will include welcoming clients, building long-term relationships with them and their pets as the come in for follow-up visits, obtaining vital information from them, keeping paperwork up to date, and being available to answer client questions, give updates, take payments, and resolve issues. This role involves strong client service, both in-person and over the phone and email, as well as administrative tasks and data entry. This position will also work to develop a rapport with clients, ensuring the best possible experience. Specialty Client Service Representatives are also cross trained to assist with Emergency Room front desk responsibilities.

This position will also focus on scheduling and requires prior experience doing medical scheduling in a veterinary setting.

Wage: $19-22 hourly

Schedule: This position will work 12pm to 8pm Monday through Friday.

What are we looking for in a candidate?

  • A genuine love of and respect for all animals is required, as is an appreciation of the human-animal bond.
  • Previous medical scheduling experience in a veterinary setting is required.
  • Minimum of one year of experience working in a fast-paced, in-person customer service capacity is required.
  • Ability to accurately handle cash transactions is required.
  • Demonstrated ability in working with a wide variety of clients in highly charged and emotional situations.
  • Knowledge of and comfort using desktop computers including the ability to learn veterinary software.
  • Ability to type a minimum of 45WPM while maintaining a conversation with a client.
  • Ability to successfully manage a multi-line phone system while also balancing in-person client interactions.
  • Close attention to detail and a high level of accuracy even while multi-tasking in a busy environment.
  • Ability to consistently maintain composure and professionalism even in emotionally charged situations.
  • Ability to problem solve and work independently within a larger team dynamic.
  • A high school diploma or equivalent.
  • Any suitable combination of experience or education may substitute for the above.
